CanBIC-6 in 2017 Early Registration Rates

REGISTRATION INFORMATION for CanBIC-6 May 23-27, 2017

·  The Invited Speaker Rate and general least expensive rate extends until noon (EST) 8th Feb. and the On-Line Abstract Submission is available from now until 16th March (poster abstracts accepted up to 6th April, 2017 or until full)

 

Registration provides access to all conference activities – particularly, the coffee breaks and lunches each day, the Plenary Lecture, Music at CanBIC recitals: a violin and piano recital1, beverages at the Western Welcome Reception and the Poster Session.  Included is a useful, strong conference bag holding the conference programme with plenty of space for your laptop2, notepads and camera.  Registration does not include: the CanBIC Coach from Pearson airport ($70 each way); or the Banquet ($80).  Note: If you need a VISA to enter Canada you must apply early.  We provide a personal letter of invitation after you have registered and submitted your abstract.  Applying for the Canadian VISA in January is recommended. Please note - we very srongly recommend applying for the visa as soon as you can and please use recorded delivery or courier to be able to track your application.

CONFERENCE REGISTRATION FEES and DEADLINES

(in Canadian Funds – 13% HST tax is added to all fees for all registrants)

 

REGISTRATION BOOKING CODE NUMBER is required to submit an abstract – use the registration code provided by e-mail on your receipt following registration for abstract submission.  Speaker Abstract deadline is 16th March (except those students and pdfs wanting consideration for the special S9 symposium – that deadline is 5th Feb.); poster deadline is up to 6th April - or until full (max is 60 – check News! and www.facebook.com/canbic.ca  (notice the dot ca) for a running count).

 

Please take action if you need to apply for a VISA to visit Canada even from the USA BUT IF YOU DO NOT NEED A VISA and you are flying to Canada and you are not an American then you need to apply for an ETA.  Look at the !News column for the URL of the Canadian Government site where you can find out if you need a VISA.  We will supply a personal letter once you register and submit your abstract. 

 

Please also note that to fly to Canada now you must complete (and pay $7 CDN) for the ETA if you are coming from a visa-exempt required country.

And, worse, if you have ever been a “Canadian”, you must use your Canadian passport to enter the country by air (note: it seems only flying into Canada is affected by this rule) not a 2nd one if you are dual citizen.  (Of course we can’t imagine why you left in the 1st place.)

 

Please note – to keep our costs (and therefore the Registration Costs to a minimum) we have to pass on the extra costs of additions after initial registration (please plan before registering) and cancellations – see comments below.  Please consider all aspects of your registration before registering so that you do not incur extra $5 charges.

 

When only booking Banquet tickets please complete the above information then just the number of tickets required in the boxes below.

For more than 1 ticket required please provide the name(s) in the accompanying persons section and (X) the “Accompanying person just attending the banquet” box to allow a badge to be issued. Ticket and badge needed to enter the Banquet Hall.


Please note that although the deadline for the reduced rates at the 2 conference-recommended hotels (Microtel Inn, Comfort Inn) is 10th April, 2017, there is a limited number of rooms available (110).  Earlier reservation is recommended if you with to stay in the hotels served by the shuttle bus.  There are a number of other hotels, B & Bs and cottages in Parry Sound and parking is free at the hotels and at the Stockey Centre. Parry Sound is very small and most accommodations are within a 20 minute pleasant walk.

Extra Event Costs

oCanBIC Coach - Coach from Toronto Pearson Airport (YYZ) to the Parry Sound hotels on Tuesday 23rd May, 2017

oCanBIC Coach - Return bus from Parry Sound hotels to Toronto Airport (YYZ) and Toronto Downtown on Saturday 27th May, 2017.

oCanBIC Coach - The meeting place on Tuesday 23rd May, 2017 will be a hotel close by the airport reached using a free airport-hotel shuttle (TBA) at 5:00 pm currently.

oCanBIC Coach - The drop-off on the 27th May 2017 will be the Pearson airport Departures at about 12:00 noon - BUT we advise you do not book flights that depart earlier than 14:30.

oCanBIC Coach - Last day to book a ticket on the coach is 15th April, 2017, after this the coach may be booked on an 'as available' basis – please contact Martin Stillman via canbic@uwo.ca

oBanquet on Friday May 26th ($80; $85 if not booked with the registration) see above. Last day to book the Banquet is 22nd April, 2017 – but note the increased cost due to our increased cost of processing – contact Martin Stillman (canbic@uwo.ca) after this to enquire about space.

oPlease note the Cancellation Policy THE REGISTRATION SMALL PRINT

oRegistration fees are fully* refundable with written notice of cancellation received by e-mail (conference.services@uwo.ca) or FAX to (519-850-2356) prior to 25th March, 2017, complete with your registration number or copy of the receipt. In the event of cancellations, please also inform the secretariat that your paper is being withdrawn, including the authors to avoid mistakes (canbic@uwo.ca).  *Note all registration cancellations incur a service fee charge of $75 to cover our costs.

oPlease note the restrictions on cancelling Banquet , and the CanBIC coach tickets before the last date to cancel (5th April, 2017).  All cancellations of just the Banquet, or CanBIC Coach tickets before April, 5th incur a service fee of $25 (not the standard $75). 

oBetween 25th March, and 5th April, 2017, 50% of the registration will be returned after the conference ends.

oThere are no refunds for Registration cancellation requests received after 5th April.

oThere are no refunds for cancellation requests for the CanBIC coach received after 5th, April,.

oThere are no refunds for cancellation requests for the Banquet received after 5th April.

oAll registration cancellations will be subject to an additional $75.00 cancellation service fee to cover our costs.

oWe recognize that Canadian Visa applications will only be successful following registration and submission of an abstract, but we cannot waive the Registration/Abstract cancellation fee if you apply for your Visa too late – we are charged by the credit card companies for all transactions.  Please also note that there will be a service charge on foreign exchange that will significantly affect refund amounts.  We refund in Can $ to the same card used initially.  We strongly recommend that if you need a Canadian Visa that you apply very early and immediately contact us (canbic@uwo.ca) if you are not issued a Visa.  You must leave at least 3 months to obtain the visa.  We will provide a personally addressed letter after you have registered and submitted an abstract.
